Job Description

Summary

To provide customer service, database and administrative support organization-wide. Present a professional, welcoming first contact to all visitors, program participants, funders, vendors, board members, staff, volunteers, media, etc. – by phone, in person and email. Develop and implement efficient office systems.

 

Responsibilities:

Front Desk Operations

  • Staff the front desk
  • Greet and direct visitors and registrants
  • Answer phone and provide information to callers, transfer calls as needed
  • Effectively convey Dodge Nature Center mission, vision and programs
  • Direct communications efficiently to appropriate departments and staff
  • Maintain supply of maps, information for visitors
  • Manage media permits

Database Support

  • Manage public programming registration process: upload programs to website, process registrations, maintain registration database, generate registration lists
  • Data entry with strong data integrity

Administrative Support

  • Process mail and monitor mail meter
  • Produce correspondence
  • Process revenue and prepare statements
  • Monitor and order office supplies
  • Maintain staff lists
  • Monitor and respond to general inbox inquiries

Event Support

  • Event support for donor and community events

Other Duties

  • Website
    • Manage all upcoming public programs, camps, activities, and events on the website: creation, monitoring capacity, and making adjustments as needed
    • Work with other departments, such as the Preschool and Programs team, to keep content updated and develop new pages
  • Survey creation and data collection
    • Send out surveys to collect data on various aspects of Dodge Nature Center’s programs and functioning.
    • Compile data collected for analysis
  • Other duties as assigned

Qualifications

– Bachelor’s degree with one year of administrative experience or equivalent combination of education and experience
– Excellent customer service skills
– Proficiency with Microsoft Word, Excel and Outlook
– Proficiency with office equipment including copier, mail meter, multi-line phone
– Experience with databases, Raiser’s Edge preferred
– Experience with website software, WordPress preferred
– Excellent interpersonal, written, and oral communication skills
– Strong attention to detail and commitment to sensitivity with confidential information
– Ability to stay on-task with multiple interruptions
– Ability to work with individuals from diverse backgrounds
– Commitment to Dodge Nature Center mission
– Some evenings and weekends may be required

 

Physical Activities and Requirements of this position:

– Must be able to sit at computer for long periods of time, and be able to lift and carry 20 pounds to waist level.
