The IDEAL Center at the Science Museum of Minnesota is looking for a dynamic and personable individual to join our diverse, creative team as the IDEAL Center’s Fiscal Coordinator. This position is core to the function of highly collaborative IDEAL Center team. The IDEAL team conducts professional development for adults focused on inclusion, diversity, equity, access, leadership (IDEAL) along with organizational change and educational improvement. The IDEAL Center works across many sectors including K-12 education, government, informal education, non-profits, and for-profits.
The purpose of this position is to provide fiscal and administrative support to the Director of the IDEAL Center and respective Project Leads and their direct reports. This work involves planning, organizing, and coordination of projects while managing day-to-day activities. This position includes management and reporting of the department budget and forecasting processes, as well as management of grant funding and client communications. A high level of organization and detail orientation is required, as well as the ability to manage multiple deadlines, be proactive and efficient, work with little supervision, handle shifting priorities, and interface inside and outside the organization with a high level of professionalism.
Work Environment: General office setting. Temporarily remote work from home required as necessary, to be assessed every 3 months in response to the COVID-19 pandemic.
Job Duties & Responsibilities:
Manage from start to finish an effective and efficient departmental accounting processes with minimal supervision, to meet established timelines. This includes but is not limited to:
- Maintain department-wide budget and accounting processes.
- Collaborate with the IDEAL director, colleagues in the Science, Education, and Equity Division (SEED) Division, and colleagues in Accounting on budgets and forecasting processes by gathering, organizing, and analyzing data as needed.
- Reconcile invoices, reimbursements, and credit card statements to their purchase.
- Data enter invoices into accounting system.
- Analyze and reconcile monthly accounting related to cost centers.
- Purchase supplies and materials as needed.
Provide high-level day-to-day administrative support to the director and department. This includes but is not limited to:
- Calendar management.
- Meeting & event coordination and preparation.
- Travel coordination and conferences.
- Communications.
- Assist and greet outside colleagues as needed.
Support client management:
- Assist with contract preparation and invoicing processes.
- Manage database and data enter information on clients and participants.
- Track timelines [relative to client contacting].
Performs other related duties as assigned.
Minimum Qualifications:
- High School Diploma / GED required.
- Applied experience using Microsoft Office Suite and Google Suite.
- Demonstrated basic accounting experience.
- Demonstrated customer service experience.
- Demonstrated ability to be attentive to details and remain organized.
Preferred Qualifications:
- Applicants with a passion for/interest in Equity and Science and/or Education.
- Previous administrative experience supporting a senior leader.
- Cultural competency and experience working with diverse communities.
- Willingness to be open and respectful of all backgrounds.
- Fluency in language(s) other than English valued (Hmong, Somali, Spanish).
