The Guest Services Specialist is responsible for administering the full portfolio of parks reservations, registrations and permitting with the goal of providing a high quality customer experience. Park facilities include, but are not limited to, all year-round facilities including Dakota Lodge, Schaar's Bluff Gathering Center, Camp Sacajawea Retreat Center, Camp Spring Lake Retreat Center, Lebanon Hills Visitor Center, picnic shelters, garden plots and camper cabins to hundreds of very diverse prospective and repeat clients to generate revenue for the County.
The Guest Services Specialist is the "face" of Parks and the County as the first point of contact, and must independently determine how to best meet their needs and expectations in a manner which reflects County customer service values. This position is fast paced with ongoing customer interaction to assess customers' needs to achieve satisfaction.
Minimum Qualifications
• Bachelor's Degree in Business Administration, Sales and Marketing, Parks and Recreation, Communications, or related field AND One year of progressively responsible direct customer service, hospitality/reservations, or event coordination/planning work experience.
OR
• Associate's Degree in Business Administration, Sales and Marketing, Communications, or related field AND Two years of progressively responsible direct customer service, hospitality/reservations, or event coordination/planning work experience.
OR
• An equivalent combination of education AND progressively responsible direct customer service, hospitality/reservations, or event coordination/planning work experience to equal or exceed 6 years.
Duties & Responsibilities
These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position's management approved work schedule is required for all positions.
1. Administer the Parks facility reservation, program registration and special use permit system ensuring a high quality, responsive customer experience both online, over the phone and in person with a focus on continuous improvement.
2. Provide technical and customer support to the reservations system administrator to ensure continuity of service for customers and staff.
3. Prepare reports and analyze data necessary to communicate reservation status, use and participation, revenue reports and other reports and insights as identified.
4. Initiate and manage communication with Parks maintenance, facility and patrol staff as well other Park management about all event details and changes so everything appears seamless to the customer and the expectations are clear.
5. Develop and maintain professional relationships with local business, non-profit and other agencies to help promote and market Parks offerings and services.
6. Determine level of risk for all events and evaluate ones require general liability insurance coverage based on County Risk Management guidelines. Collect evidence of insurance from clients or purchase coverage through Dakota County Risk Management as appropriate.
7. Keep all documents and communications updated with current information based on customer feedback and changing market trends.
8. Represent Guest Services in various department and Countywide work groups, projects, initiatives and other appropriate meetings to represent park reservations. Share ideas and feedback related to rental clientele and service delivery..
9. Administer, track and respond to customer satisfaction feedback for facilities, programs and services.
10. Stay updated on best practices associated with the hospitality industry, tourism, customer experience, data analytics and parks and recreation.
11. Generate sales leads that develop into new customers including coordinating facility tours with guests.
12. Manage payment processing for all clients and follow up on overdue accounts, request damage deposit refunds and determine when to withhold refunds as appropriate.
13. Manage the data entry for program offerings within program database and software.
14. Recommend, develop and implement internal work methods and assist in developing new procedures with the goal of effective, relevant and responsive service delivery.
Knowledge, Skills & Abilities and Work Environment
• Demonstrated excellent customer service skills.
• Proficiency in online reservation system (preferably Vermont Reservation System, RecTrac), point of sale and Microsoft Office software.
• Excellent problem-solving skills.

• Strong verbal and written communication skills capable of being customized to a diverse audience.
