Job Description

This full time position which reports to the Group Sales Manager, supports the Bell Museum’s mission by facilitating group educational experiences – including on-site school, community, and adult group visits, as well as virtual and ExploraDome school and community visits. This position provides customer service and knowledgeable guidance for groups, assisting with booking an experience that meets their needs. This position is also responsible for maintaining accurate booking records in Audience View and other systems.

Major Areas of Accountability (with percentages):

55% On-Site Group Registration
● Respond to inquiries regarding group visits to the Bell Museum and Whitney & Elizabeth MacMillan Planetarium
● Offer guidance and assistance to adult group leaders as they plan for their visit to the Bell Museum; suggest experiences to meet their goals and assist with logistical questions
● Use and maintain templates and procedures that effectively communicate group visit policies
● Maintain accurate group booking details in AudienceView and our space scheduling software
● Send confirmation and reminders to prepare groups for their visit; secure payment
● Prepare post-experience communications which may include thank yous, surveys, and free passes for participants.
● Assist with the scholarship application and tracking process for on-site group visits
● Work across departments to track and compile data from group visits

40% Off-Site Outreach Program Registration
● Respond to inquiries regarding virtual programming and ExploraDome bookings, provide guidance, and assist with scheduling details
● Suggest modifications to Statewide Engagement team as needed based on the experience of booking groups and communicating with group leaders
● Send important communication prior to a visit or virtual program and help solve minor technical barriers.
● Send confirmation, reminders, and educational materials to prepare groups for the visit as well as post-visit surveys
● Create contracts for virtual and Exploradome bookings, informing customers of all pertinent policies and contract details.
● Coordinate with the finance team to generate invoices; Coordinate administration and tracking of scholarships for ExploraDome and virtual programming bookings

5% Equity, Access and Inclusion
● Provide communication that is welcoming to all groups, regardless of background
● Identify barriers that seem to prevent groups from booking
● Continually examine communications through a lens of equity and inclusion, and work with the Groups sales Manager to make changes if needed.
● Provide information about accessibility resources and work with groups and Visitor Services Manager to make accommodations
Qualifications

Essential Qualifications

● High School Diploma/GED and two years of experience of related office and administrative experience.
● Demonstrated commitment to inclusive practices and equity
● Ability to communicate complex information to people of varied ages and backgrounds
● Excellent organizational skills and attention to detail
● Proficiency with Microsoft Excel or other spreadsheet software
● Experience in booking complex services in a computer system

Desired Qualifications

  • Two years of experience in a ticketing, group sales or guest services setting
    ● Experience communicating or working with educators/group leaders, demonstrated by the ability to anticipate their needs
    ● Experience with a ticketing system, appointment scheduling, or other scheduling software
    ● Experience creating reports based on datasets

 

Other:

Salary Range: $18.00 - $20.00/hour.
