Job Description

Join the Anoka County Parks Department and experience an opportunity like no other! The Administrative Assistant is responsible for greeting park users, disseminating park information, answering questions on programs, assisting those using the facility, scheduling interpretive programs, and facility reservations. The Administrative Assistant is the recreation and facility reservation software work unit expert and is responsible for coordinating customer profiles, class registration, updating class information for the public, program fee collecting and reconciliation, program reports, and statistical reporting. This position is also responsible for financial transactions, both electronically and in-person, and completing the appropriate financial documentation.

This part-time, non-exempt, benefit-eligible position is located at the Wargo Nature Center in Lino Lakes, MN.

EXAMPLES OF ESSENTIAL DUTIES

Duties and Responsibilities
These examples are not all-inclusive and are intended to be illustrative of the primary responsibilities of an Anoka County Administrative Assistant.

  • Navigate customer service challenges to positively represent the department throughout the guest experience.
  • Develop and review operating procedures for efficiency and adherence to County and department policies.
  • High level of accountability in representing the County and department to the public.
  • Responsible for adhering to financial processes and procedures.
  • Responsible for ensuring information for programs and facilities is accurate and properly communicated.
  • Courteous and professional interactions.
  • Technical knowledge of park system amenities and offerings.
  • Technical expert in reservation and registration management software.
  • Accounting processes including invoicing, reconciliation, and county cash handling procedures.

REQUIREMENTS

Minimum Qualifications (Required)

  • High school diploma or equivalent education.
  • One year (2,080 annual hours) of customer service experience.
  • Successfully pass a criminal history background check.

Preferred Qualifications

  • Cash handling experience.
  • Familiar with the Anoka County Park System.
  • Experience managing inventory and related record keeping.
  • Experience working with an equipment rental program, preferably recreational equipment such as canoe, kayak, GPS units, and/or snowshoes.

Knowledge, Skills, and Abilities Needed

  • Must have strong verbal communication and excellent customer service skills in working both face to face, over the phone, and electronically with the public, other departments, and user groups.
  • Ability to handle multiple tasks simultaneously and with frequent interruptions.
  • Ability to handle uncomfortable customer service issues, i.e. unhappy customers, injury in the park, and enforcement of park policy.
  • Must have light clerical skills - typing, filing, computer (Microsoft suite).
  • Manage calendars (Outlook, CivicPlus, and RecTrac) and input and retrieve data.
  • Ability to screen new hires, and schedule and train seasonal front desk attendants.

Work Environment

This position is located at Wargo Nature Center in Lino Lakes. 90% of the work performed will be in an Office; 10% of the work performed will be Outdoors.

GRADE LEVEL

Salary
Standard hiring rate: $34,444 to $35,484 ($16.56 to $17.06 per hour). Non-exempt.
2022 Anoka County Salary Schedule, Grade A008: $34,444 to $56,929 ($16.56 to $27.37 per hour).
Upon successful completion of an initial hire probationary period, employees will be reviewed for a potential pay increase and reviewed at least annually thereafter.

Hours
Part-time; 32 hours per pay week.
The work schedule is primarily Tuesday through Friday, generally between the normal business hours of 8 a.m. to 4:30 p.m. The schedule may vary based on business needs and at the supervisor’s discretion.

Selection Process
The examination/selection process for this classification will consist of a review of your training and experience from the application materials submitted. The most qualified candidates will be invited for an oral exam and/or interview.
