Who we are

With nature as our catalyst, Camp Fire Minnesota energizes youth to discover their spark so their futures glow brighter.

Youth spend 90% of their time indoors. Camp Fire Minnesota addresses this challenge by delivering culturally relevant, nature-based programs at Tanadoona, Camp Bluewater, and throughout the community to over 6,500 youth from all backgrounds each year. We help youth “light their spark within” through summer camp, environmental education & STEM classes for schools, and community-based out-of-school time nature programs.

We are proud to offer inclusive and welcoming programs to youth in the community. To this end, 40% of Camp Fire youth participate at reduced or no cost.

As a result of their Camp Fire experience, 92% of youth report valuing nature and stewarding the environment.

 

Our desired candidate

The Administrative & Executive Assistant position is critical to the overall success of the organization. This remains true as Camp Fire staff continue to work remotely due to COVID-19. Working from home is a new concept for Camp Fire and we are learning! This person should like a challenge and can problem solve independently and creatively. As the first point of contact for Camp Fire, this person provides stellar customer service both externally and internally. This position provides executive support for the CEO and Leadership Team.

Your role at Camp Fire Minnesota

Office Operations Responsibilities

Due to COVID-19, staff have been working from home. Camp Fire does have a physical location at Tanadoona in Chanhassen, MN where there is a small administrative office. We are in the process of moving out of our main office space in St. Louis Park, MN.

  • Short-term (2 years), manage the physical move-out of our St. Louis Park office.
  • Ensure staff’s remote-office experience, as well as our physical office location at Tanadoona, is running smoothly and efficiently, including in tracking and ordering office, program, donor-relation and marketing supplies
  • Manage office communications – field Camp Fire’s main phone line, voicemail, email inbox and webform inquiries, while providing first-rate customer service to all Camp Fire constituents
  • Serve as liaison between Camp Fire employees and IT Consultants to manage office-wide technology needs
  • Coordinate with staff to maintain Camp Fire’s document retention policy
  • Open and document mail delivery
  • Lead and execute special projects as requested including coordination of project staff and timeline
  • Coordinate staff wide meetings and events
  • Donors relations: support Annual Fund Manager as needed with data entry, mailings, and events
  • Camp registration: in coordination with our Outdoor Programs team, assist families with camp registration questions and general camp inquiries

 

Leadership Support Responsibilities

Camp Fire Leadership Team includes the CEO, VP of Org. Advancement, CFO, Director of Communications & Org. Effectiveness, and the Operations Director for Tanadoona.

  • Manage the CEO’s calendar and provide day-to-day support as needed
  • Provide administrative support for Leadership Team projects as requested, including scheduling and document prep

 

Board and Trustee Support Responsibilities

Camp Fire Minnesota has approximately 25 Board of Directors and meets bi-monthly. Its supporting organization, the Minnesota Camp Fire Foundation, has approximately five Trustees who meet quarterly.

  • Meeting management: schedule and manage Board and Trustee meeting calendars, maintain & prepare meeting materials, track attendance, scribe notes for various committee meetings, etc.
  • Create professional relationships with Board and Trustees by managing meetings between them and Camp Fire staff as well as being their main administrative contact

 

Knowledge, Skills, and Experience:

  • Ideal candidate has minimum 2 years of previous experience in a comparable support role
  • Comfortable with technology and working with IT vendors
  • Proficient in Microsoft Office software (Excel, Outlook, Word, PowerPoint and SharePoint) and quick to learn new software systems.
  • Solution-oriented: takes confident and quick action to fully understand the situation, seek answers and resolve the situation in a timely manner with limited direction
  • Strong ability to work well with others remotely
  • Exceptional communication and organizational skills
  • Ability to prioritize and manage multiple projects

 

Salary and Benefits:

Salaried position- $33,000-37,000, dependent on qualifications and experience. Benefits eligible.
